Responsibilities:

  • Supports sales department through the preparation and processing of truck sales and delivery documents and scheduling
  • Creates, updates, and files a Truck File for every new and used heavy-duty vehicle sold
  • Promotes effective communication with sales department while ensuring all needed information is obtained in a timely fashion
  • Quickly and efficiently processes sales related paperwork

Primary Duties:

  • Prepares truck file for each sale which includes paperwork related to the invoicing, add-on costs, titling, warranty, etc.
  • Processes truck payments and deposits
  • Assists in the coordination and funding of incoming vehicle trades
  • Tracks Repair Orders associated with each individual Truck File and ensures correct documentation and filing
  • Assigns and updates internal Purchase Orders to the applicable vehicle via the database
  • Prepares and drafts delivery documents needed to support sales staff during the sale process including Department of Transportation (DOT) forms including titling paperwork, warranty paperwork, and finance contracts
  • Prepares reports for sales department to include Retail Sales report, monthly sales summary, CAR’s log, quarterly engine delivery schedules, and various weekly truck available inventory listings
  • Assists branch accounts receivable department by coordinating and monitoring daily order processing and deposits and reviewing customer payment history and report any negative trends
  • Other duties as assigned

Qualifications:

  • Associate’s degree (AA) or comparable work experience; Bachelor’s degree preferred
  • 2 years general office experience, preferably in a sales environment
  • Knowledge of insurance practices and policies, DMV regulations, and warranty and sales procedures/requirements is preferred
  • Effective written and verbal communication skills
  • Telephone, customer service, and computer skills to include proficiency in Microsoft Excel are a must
  • Ability to prioritize and meet deadlines while simultaneously processing multiple tasks
  • Ability to work in a fast-paced environment
  • Must be highly organized, detail-oriented, and results-driven
